How to Claim

European Funds are paid retrospectively against costs already incurred and paid.  Claims are made through The Scottish Executive Data Capture on-line system.

Claims are initially processed by the PME but are paid by the Scottish Executive.  Claims should be submitted no later than four months after the acceptance of grant, although the PME encourages applicants to submit claims as early as possible if expenditure has been incurred.  Claims are submitted at least quarterly, but the PME encourages more regular submission if that assists project management and cash flow.

The claims system automatically contains information from the approved application form and so applicants only have to complete progress information in respect of eligible costs incurred, co-finance and progress on outcomes achieved.  Once a claim is submitted the PME will contact the applicant with any queries and next steps.  Claims should be processed by the PME within 10 working days of submission on the on-line system. 

The claim form is not used to advise or make any changes to projects.  There is separate Change Guidance provided.  It is important that the PME is contacted whenever any changes are foreseen as per the conditions of grant.
