How to Claim

ERDF and ESF grants are claimed retrospectively through the submission of Quarterly Progress Report and Claim forms which are submitted via the Eurosys system.  The Notes for Applicants are due to be reissued by the Scottish Government by March 2009.  These will provide applicants with full guidance on how to complete a Progress Report and Claim Form.

Progress Report and Claim (PRC) forms need to be submitted every quarter with deadlines for submission (claim schedule) included in each grant offer.  Currently, three months of expenditure should be included in claims and a month is provided to gather information to produce the report via Eurosys. The Claims Schedule advises of the DUE date for the PRC (the date by which the PRC should be submitted online through Eurosys) and the RETURNED date (the date by which the PRC should be submitted in hard copy with all associated documentation).  The PRC is made available on Eurosys as soon as the grant offer is returned and received by the IAB.  Please note that Eurosys only permits one PRC per quarter and the claim for expenditure is made retrospectively for costs already incurred and fully defrayed (i.e. expenditure has come out of your bank account).

On Eurosys the PRC is pre-populated with the relevant information from the approved application form (including outcomes, participant details and cost breakdowns) and is divided into the following sections:

  • Project Summary Statement
  • Participant Characteristics (ESF Only) 
  • Outputs, Results and Impacts 
  • Claim Summary 
  • Match Funding 
  • Financial Declarations 
  • Declaration
